CANCELLATION, REFUND, AND ATTENDANCE POLICIES
Reclaiming Her Resilience LLC – Trauma-Informed Narrative Coaching
This policy applies to all individual coaching sessions, coaching packages, and group coaching programs.
1. INDIVIDUAL COACHING SESSIONS
Clients may reschedule or cancel individual coaching sessions up to 24 hours before the scheduled session time at no charge.
Cancellations or rescheduling requests made with less than 24 hours' notice, as well as no-shows, will be charged the full session fee.
I understand that life happens, and I will consider emergencies on a case-by-case basis with compassion. This policy is designed to protect both the client's commitment and the coach's reserved time while keeping expectations clear and consistent.
2. COACHING PACKAGES
(8-WEEK AND 12-WEEK)
All coaching packages are non-refundable once the first session has begun. Packages may not be transferred, paused, or refunded, but unused sessions may be rescheduled within the package time window.
Clients are responsible for using their sessions within the allotted timeframe. Any unused sessions remaining after the expiration date will be forfeited.
Package Timeframes
Package Type Must Be Used Within
8-week package 90 days of purchase12-week package120 days of purchase. This gives clients enough flexibility to schedule sessions weekly or every other week while still maintaining the momentum of the coaching container. It also prevents packages from becoming indefinite holds on my calendar.
Clients are encouraged to schedule sessions in advance whenever possible. If a client prefers every-other-week sessions, that can usually fit within the package window as long as sessions are booked consistently.
If a client needs to miss a session, they should contact me as soon as possible to request a reschedule. Rescheduled sessions must still fall within the package expiration period.
3. RECLAIMING HER STORY GROUP COACHING PROGRAMS (8-WEEK GROUPS)
No Rescheduling, No Recordings
Reclaiming HER Story Group sessions are NOT reschedulable. Each 8-week group is carefully structured so that sessions build week upon week, with different subjects and exercises that depend on the previous week's work. Because of this, missing a session cannot be made up by attending another group or watching a recording.
Group sessions are NOT recorded. These are trauma-informed, deeply personal, and private conversations. To protect the safety, trust, and confidentiality of all participants, no audio or video recordings, transcripts, or summaries will be provided.
Attendance at every session is strongly encouraged. If you miss a session, you will not receive a refund for that session, and you will not be given extended time or a make-up option beyond the group's 8-week timeframe.
Refund Window for Group Enrollment
Timing of Cancellation Refund 14+ days before group start
Full refund (minus $50 administrative fee)
5–13 days before group start
Partial refund (50% of group fee, minus $50 administrative fee) at my discretion
After first group session-No refunds
Once the group begins, no refunds or prorated refunds will be given for missed sessions, late arrivals, or early departures. The group fee covers your spot in the cohort and my preparation for the full 8-week journey, not attendance at individual sessions.
If you must withdraw from the group mid-program due to an emergency, I may consider a compassionate exception on a case-by-case basis, such as offering a credit toward a future cohort or a partial refund, but this is not guaranteed.
4. EMERGENCY EXCEPTIONS (ALL SERVICES)
I recognize that trauma survivors and clients dealing with crises may face unexpected emergencies that make it impossible to follow the standard policy. In such cases, I offer compassionate exceptions at my discretion.
Emergencies may include:
Medical or mental health crises
Severe trauma responses or overwhelming emotional activation
Sudden caregiving obligations (for example, a child or family member in crisis)
Natural disasters, severe weather, or other unforeseeable events
If an emergency occurs, please contact me as soon as you are safely able to do so. I will work with you to reschedule the session without charge when possible, and I may offer a one-time courtesy waiver for late cancellation fees.
I reserve the right to determine what qualifies as an emergency and to limit the number of exceptions granted to maintain fairness and sustainability for my practice. If a pattern of late cancellations emerges, we may discuss whether your current coaching structure is the best fit for your needs.
For group programs, emergency exceptions may include:
Allowing you to transfer to a future cohort, if available
Offering a partial credit toward a future program
Granting a one-time courtesy refund exception before the group begins
These exceptions are not guaranteed and are granted on a case-by-case basis, with the integrity of the group and my preparation time as my top priorities.
5. POLICY UPDATES
Reclaiming Her Resilience LLC reserves the right to update or modify this policy at any time. Any changes will apply going forward and will be communicated as needed.
Policy updates may be made as needed and will apply only going forward.
